In this multifaceted role, you will be the first point of contact for clients, ensuring a positive and welcoming atmosphere in our offices. Additionally, you will provide essential administrative and accounting support to ensure the smooth functioning of our daily operations. During the harvest season, you will take on the critical task of accurately entering and managing data related to crop production reports.</p><p><br></p><p><strong>PRIMARY RESPONSIBILITIES ADMINISTRATIVE SUPPORT / HARVEST DATA ENTRY CLERK</strong></p><p><br></p><ul><li>Greet and welcome clients in a friendly and professional manner</li><li>Answer phone calls, schedule appointments, manage calendar, perform basic office tasks, and provide basic information about our services</li><li>Enter and update crop production data into the companys database or management system during the harvest season.</li><li>Verify the accuracy of data and reports provided by field staff and other sources.</li><li>Generate daily, weekly, and end-of-harvest reports on crop production.</li><li>Assist with the organization and maintenance of digital and paper records related to crop production.</li><li>Communicate with field staff to clarify data entries and resolve any discrepancies.</li><li>Ensure data confidentiality and security.</li><li>Perform additional administrative tasks as required to support the harvest operations and auto body business.</li><li>Occasionally run errands for the office, such as taking mail to the post office, dropping off deliverables, or picking up supplies</li><li>Assist and support all company personnel</li></ul><p><strong>Preferred Experience and Skills:</strong></p><p><br></p><p>This position requires an ability to greet customers with a smile, pay attention to details, work with numbers, solve problems, and work well with others.&nbsp;</p><p><br></p><ul><li>High School Diploma or equivalent; additional education in office administration is a plus</li><li>Proven experience in administrative support, data entry, or a similar role.</li><li>Strong attention to detail and accuracy.</li><li>Familiarity with basic accounting terminology including accounts payables and receivables&nbsp;</li><li>Proficiency in using QuickBooks Online&nbsp;</li><li>Proficiency in using Microsoft Office Software (Word, Excel, Office 365, etc.)</li><li>Strong organizational skills and attention to detail are essential for maintaining accurate records</li><li>Excellent communication and interpersonal skills to interact with clients and staff</li><li>Bilingual, Spanish strongly preferred</li></ul><p><strong>Physical Requirements:</strong></p><ul><li>Ability to sit for extended periods while entering data.</li><li>Occasionally required to lift and carry files or supplies weighing up to 25 pounds.</li></ul><p><strong>Work Environment:</strong></p><ul><li>Office environment with occasional visits to field sites.</li><li>Fast-paced during the harvest season with tight deadlines and high volumes of data to manage.</li></ul><p>This position is seasonal and will typically run from September to January, with the possibility of extension based on the needs of the business.
